1. Who We Are

VisitReady ("we," "our," or "us") is a mobile application designed to help patients prepare for medical appointments. VisitReady is developed and operated by De'Shawn Minnis. You can reach us at hello@getvisitready.com.

This Privacy Policy explains how we collect, use, and protect information when you use the VisitReady app and website at getvisitready.com.

2. Information We Collect

2a. Information You Provide (Health-Related)

When you use VisitReady, you may enter information including:

• Reason for your appointment
• Symptom descriptions, duration, and severity
• Current medications
• Relevant health history you choose to share
• Your goals for the appointment

2b. Information Sent to Anthropic API

To generate your AI-powered visit summary and suggested questions, the symptom and appointment information you enter is sent to Anthropic's Claude API for processing. This transmission occurs over an encrypted connection (HTTPS) via a secure serverless proxy.

Key facts about this process:

• Anthropic processes your input to generate a response and does not retain it for model training by default (subject to Anthropic's own privacy policy at anthropic.com/privacy).
• We do not log or store the content of your API requests on our servers.
• Your information is not linked to any personal identifier (name, email, phone number) during this process.
• VisitReady is not a HIPAA-covered entity and this usage does not constitute a HIPAA-regulated disclosure. We strongly recommend you do not include uniquely identifiable information (full name, date of birth, SSN, insurance ID) in your symptom descriptions.

2c. Analytics Data

We use PostHog, a privacy-focused analytics platform, to collect anonymized usage data to help us understand how the app is used and improve the user experience. This includes:

• Feature interactions (which screens are visited, which buttons are tapped)
• App session counts and duration
• Crash reports and error events
• Completion rates for the visit prep flow

Analytics data is anonymized and not linked to any health information you enter. We have configured PostHog with privacy-preserving settings including:

• No personal identifiers collected
• Session recording disabled by default (opt-in only via feature flag)
• IP addresses not stored

2d. Website Analytics

Our website at getvisitready.com may use standard web analytics tools to understand traffic sources and page visits. No health information is collected on the website.

3. How We Use Your Information

We use the information described above to:

• Generate your AI-powered visit summary and suggested questions (via Anthropic API)
• Enable PDF export and sharing features using your locally stored data
• Analyze aggregate, anonymized app usage to improve VisitReady features
• Respond to support requests you send us directly

We do not use your information for advertising, profiling, or any purpose other than providing the VisitReady service.

4. Information Sharing and Disclosure

We do not sell, rent, or trade your personal information to any third party.

We share information only in the following limited circumstances:

• Anthropic (AI processing): Symptom data is sent to Anthropic's API solely to generate your visit summary. See Section 2b above.
• PostHog (analytics): Anonymized usage events are sent to PostHog for analytics processing. No health data is included.
• Legal requirements: We may disclose information if required by law, court order, or government authority.

5. Data Storage and Security

Your health-related input is stored locally on your device using React Native AsyncStorage. We do not have access to this data. If your device is lost, stolen, or reset, this data may be lost.

Transmissions to the Anthropic API use industry-standard TLS encryption. Our serverless proxy (hosted on Vercel) does not log request content.

6. Children's Privacy

VisitReady is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information through VisitReady, please contact us at hello@getvisitready.com and we will take steps to remove that information.

7. Your Rights and Choices

Since your health data is stored locally on your device, you have full control over it at all times:

• Access and deletion: Clear the app's data in your device settings, or uninstall VisitReady to remove all locally stored data.
• Analytics opt-out: You may contact us to request exclusion from analytics tracking.
• Data inquiries: Email us at hello@getvisitready.com with any privacy-related questions or requests.

8. Medical Disclaimer

VisitReady is not a medical device and does not provide medical advice, diagnosis, or treatment recommendations. The visit summaries and questions generated by VisitReady are intended solely to help you organize and communicate information to your healthcare provider. Always consult a qualified, licensed healthcare professional for medical decisions.

VisitReady is not a HIPAA Business Associate and does not create, maintain, or transmit Protected Health Information (PHI) on behalf of any Covered Entity.

9. Third-Party Services

VisitReady integrates with the following third-party services, each governed by their own privacy policies:

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. For significant changes, we will provide notice within the app. Continued use of VisitReady after changes constitutes your acceptance of the updated policy.
